Cancellation, Refund, Transfer, and Participation Policy

This policy applies to all Genius Gems Summer Camp locations.

By enrolling in Genius Gems Summer Camp 2026 and submitting payment, you acknowledge and agree to the terms below.

All deadlines are based on Eastern Time (ET) and are determined by the date and time we receive your written email request.

Definition of Camp Tuition

For purposes of this policy, "camp tuition" includes all amounts paid for Summer Camp programming, including the base camp program and any before care and/or after care add-on services, unless expressly stated otherwise below.

Refund Schedule (Strict Deadlines)

  1. On or before February 28, 2026 (11:59 PM ET): 90% refund of camp tuition paid.
  2. March 1, 2026 through April 30, 2026 (11:59 PM ET): 50% refund of camp tuition paid.
  3. On or after May 1, 2026: no refunds or credits will be issued.

No exceptions will be made to these deadlines. This includes (but is not limited to) cancellation requests due to: moving to a new location, selling your home, changes in personal or family plans, deciding to change your vacation plans, or any other reason.

Before Care and After Care Pricing (Effective June 21, 2026)

Beginning at 12:00 AM ET on June 21, 2026, the cost of before care and after care may increase. Updated pricing will be determined by Genius Gems and posted on our website.

It is expected that purchasing before care or after care on an individual-day basis will be more expensive than purchasing before care or after care for an entire week. Accordingly, families are encouraged to place orders for before care and after care prior to June 21, 2026.

Additional Support and Supervision Needs

Genius Gems Summer Camp welcomes all students and strives to create a safe, inclusive, and supportive environment for every camper.

Some children may require one-on-one support or supervision in order to participate safely and successfully. If, in the sole discretion of Genius Gems, a camper is determined to require this additional level of support, we will work with the family to explore reasonable accommodation options, which may include:

If Genius Gems provides or arranges a one-on-one support person, the cost will be no less than $20 per hour, billed based on the child's scheduled camp hours, including any before care or after care. These fees are in addition to camp tuition and must be paid in advance. We may or may not be able to facilitate this on short notice.

Genius Gems does not guarantee that a suitable support person can be identified or provided. If none of the above options are feasible or successful, the family will be required to withdraw the child from the program, and no refunds or credits will be issued (subject to the refund schedule above, if applicable).

If Genius Gems determines, in its sole discretion, that providing or accommodating a one-on-one support person is not feasible or advisable, the camper will be removed from the program. No refunds or credits will be issued for the current week or any future weeks for which the camper is enrolled (subject to the refund schedule above, if applicable).

Extreme Weather, Facility Issues, and Acts of God

Notwithstanding anything to the contrary in this policy, in cases of extreme weather, acts of God, terrorism, or other circumstances beyond our control, if any Genius Gems location is not able to hold camp (including delayed openings, early closures, or full-day closures), no refunds or credits will be issued.

If a prolonged building issue makes it not possible to run camp at a facility, Genius Gems will use reasonable efforts to run camp at a nearby offsite facility that meets our standards. By enrolling your child, you give permission for your child to attend camp at such an offsite facility.

Public Health Closures

If Genius Gems is required to close due to government or public health mandates, we may offer an alternative program (such as virtual programming with materials and live instruction). Participation in any alternative program is optional; however, no refunds or credits will be issued if a family chooses not to participate. Families who choose not to participate in any alternative or virtual program offered in these circumstances will not be entitled to a refund or credit.

Late Pickup Policy

Timely pickup is essential to the safety of campers and staff and to the proper operation of our programs.

If a parent or guardian arrives late to pick up their child at the designated pickup time, the following late pickup fees will apply:

Late pickup fees are calculated from the scheduled pickup time and are payable via invoice or point of sale upon pickup or shortly thereafter. Payment is due upon receipt. No exceptions will be made.

Repeated late pickups may result in additional consequences, including a determination that the family may not be eligible to enroll in future Genius Gems programs.

Millburn Full-Day Program (Held at CBI): Inclement Weather Transportation

This section applies to campers enrolled in the full-day Summer Camp program in Millburn that includes time at Congregation B'nai Israel (CBI).

Under normal conditions, Genius Gems staff will escort campers on foot between CBI and the Genius Gems Millburn location.

In the event of inclement weather (including extreme heat, heavy rain, projected thunderstorms, or other conditions that, in the judgment of Genius Gems, make walking unsafe or impractical), Genius Gems may determine that an alternative method of transportation is necessary. In such circumstances, the Camp Director or another authorized Genius Gems staff member may transport campers by vehicle from CBI back to the Genius Gems Millburn location.

By enrolling a child in this program, parents and guardians grant permission for Genius Gems to transport their child by vehicle under these circumstances. If a parent or guardian does not wish for their child to be transported by Genius Gems, they must instead promptly arrange pickup of their child directly from CBI at the time specified by Genius Gems staff.

If a child is not picked up on time from CBI when pickup is required, late pickup fees will be assessed in accordance with the Late Pickup Policy above.

CBI Pickup Delay (More Than 10 Minutes)

If a camper is more than 10 minutes late to be picked up from CBI when required, Genius Gems may transport the camper to the Genius Gems Millburn location. In that situation, the family will be charged the per diem after care fee for that date, regardless of the length of time the camper remains at the Millburn location.

Behavior and Conduct Expectations (Campers)

If a child demonstrates a pattern of behavior that, in the judgment of Genius Gems, is disruptive or dangerous to fellow campers, staff, or the child, Genius Gems may require the child to be withdrawn from the program. In such cases, no refunds or credits will be issued as described in this policy.

Examples of conduct that may lead to withdrawal include (without limitation):

If you have concerns about whether your child can meet our expectations, we strongly encourage you to reach out to discuss your concerns with us prior to registration. While we understand that no child is a perfect angel, we do have high standards for conduct and we will enforce those standards to protect the safety of campers and staff.

Parent and Caregiver Conduct Expectations

Parents, guardians, and other caregivers are expected to treat all Genius Gems staff members with courtesy and respect at all times, including during drop-off, pickup, written communications, and in-person interactions.

Any instance of abusive, threatening, or inappropriate language or behavior directed at Genius Gems staff or another Genius Gems customer by a parent or caregiver will be promptly reported to the Camp Director. Such conduct may result in consequences including, but not limited to, the immediate termination of the child's current enrollment without refund and/or a determination that the family is no longer eligible to enroll in future Genius Gems programs, at the sole discretion of Genius Gems.

Medical Emergencies and Emergency Care Authorization

In the event of a medical emergency or health-related incident involving a camper, Genius Gems staff will follow this protocol:

  1. Dial 911 if the situation appears to require emergency medical services.
  2. Notify the Camp Director as soon as practicable.
  3. Notify the child's parent or guardian as promptly as possible using the contact information on file (which may include calls, texts, and emails).

If Genius Gems determines that a medical situation requires prompt evaluation or treatment but does not require a 911 emergency response or ambulance, parents and guardians authorize Genius Gems to transport their child by vehicle to a local urgent care facility or hospital.

Parents and guardians understand and agree that they are financially responsible for any medical costs incurred, including urgent care visits, hospital treatment, ambulance services, and related expenses.

Photography and Media Use

Genius Gems may take photographs or video recordings of campers during camp activities for purposes including internal documentation, program promotion, weekly newsletters sent internally to families of campers for that week, and marketing (including websites, social media, and printed materials).

Families who prefer that their child not appear in photographs or videos used for promotional purposes must notify Genius Gems in writing prior to the start of camp. While we make reasonable efforts to honor such requests, we cannot guarantee exclusion from all group or background images. If a family later identifies a photo they prefer not be used publicly, they may contact information@geniusgems.com, and Genius Gems will make reasonable efforts to remove the image where practicable.

Personal Belongings and Valuables

Campers are encouraged to leave personal belongings and valuables at home.

Genius Gems is not responsible for lost, stolen, or damaged personal items brought to camp, including toys, trading cards, electronics, money, or personal devices.

Families are strongly encouraged to label all items brought to camp.

Drop-Off and Pick-Up Authorization

For the safety of our campers, children will be released only to parents, guardians, or other individuals authorized in writing by the family.

Genius Gems staff may require photo identification at pickup. Changes to pickup authorization must be submitted in writing in advance.

If staff are unable to verify the identity or authorization of an individual attempting to pick up a camper, Genius Gems reserves the right to refuse release of the child until verification is obtained.

Camp T-Shirts

Genius Gems provides one camp T-shirt per camper for the summer camp season. Campers are expected to wear their Genius Gems camp T-shirt during camp hours, as it assists with identification, supervision, and group safety.

T-shirt sizes are selected by families at the time of registration. While we make every effort to provide the requested size, availability is not guaranteed. T-shirts are distributed on a best-efforts basis, and size exchanges may not be possible once shirts have been ordered or distributed.

Lost or damaged T-shirts may be replaced at the family’s expense, subject to availability. No refunds or credits will be issued in connection with T-shirt sizing, availability, or replacement.

NYC Park Requirement

Genius Gems NYC may walk campers to a local park, depending on the weather. All campers must be able to walk independently, follow staff instructions to and from the park, and participate safely while at the park.

Campers may not stay back at the facility during park time, as there is no staff available to supervise them.

If a camper is unable to attend the park, no refunds or credits will be given. Families may, at their own expense, arrange for a private caregiver to supervise their child during park time; Genius Gems does not provide this service.

If a camper arrives late after the group has departed for the park, it is the caregiver’s responsibility to walk the camper to the park to meet the group. Genius Gems staff must be notified in advance of any changes to the regular plan.

Program Changes and Operational Adjustments

Genius Gems reserves the right to make reasonable changes to camp schedules, activities, groupings, staffing, or use of space as needed due to operational, safety, or logistical considerations.

Such changes do not entitle families to refunds or credits and are made in the best interest of camper safety and overall program quality.

Medical Conditions, Allergies, and Dietary Considerations

Unless otherwise stated, families are responsible for providing food for their child.

All medical conditions (including but not limited to allergies, epilepsy, or other health conditions), dietary restrictions, and any medications that need to be taken by the camper during scheduled camp hours must be disclosed in the initial camp registration. These matters must be discussed with Genius Gems in advance of registration.

While Genius Gems makes reasonable efforts to be allergy-aware, we cannot guarantee an allergen-free environment.

Families are responsible for ensuring that food provided to their child meets their individual dietary needs.

Medical Action Plans: Any camper who requires a medical, allergy, or behavioral action plan (including emergency action plans) must provide the plan in writing to the Camp Director prior to the start of camp. Families authorize Genius Gems to follow the plan in accordance with the written instructions provided.

Bathroom Independence and Self-Care Expectations

All campers must be fully toilet trained and able to use the bathroom independently at the time of enrollment and throughout the camp day.

Genius Gems staff are not able to provide one-on-one bathroom assistance. If a camper is unable to manage bathroom needs independently or has repeated accidents, the family may be contacted for pickup.

Families are expected to provide a change of clothing (at their expense).

If a camper is unable to use the bathroom independently and no caregiver is available to assist, Genius Gems reserves the right, at its sole discretion, to terminate the camper’s enrollment for the current week and any future weeks. No refunds or credits will be issued in such circumstances.

Electronics and Personal Devices

Personal electronic devices (including phones, tablets, handheld gaming devices, and smart watches used for non-essential purposes) are discouraged during camp.

If brought to camp, devices may be required to be stored during program hours. Genius Gems is not responsible for the loss, damage, or misuse of personal electronic devices.

Situations in Which No Refunds or Credits Will Be Issued

Refunds or credits will not be provided in the following circumstances (in addition to other terms in this policy):

Makeup Days

Genius Gems does not offer makeup days, credits, or refunds for missed camp days, including absences due to illness, vacations, late arrivals, early departure, or partial-week attendance.

If a camper is unable to attend an entire scheduled camp week due to illness, families may contact Genius Gems to request a transfer to a different week, subject to availability. Partial-week transfers are not available.
